Online Hostel Management System

As the name specifies “ONLINE HOSTEL MANAGEMENT SYSTEM” is a software developed for managing various activities in the hostel. For the past few years, the number of educational institutions is increasing rapidly. Thereby the number of hostels are also increasing for the accommodation of the students studying in this institution. And hence there is a lot of strain for the person who is running the hostel and software’s are not usually used in this context. This particular project deals with the problem of managing a hostel and also avoids the problems which occur when carried manually. This software application will help admin to handle students information, room allocation details, payment details, billing information, etc.

Why: Problem statement

Identification of the drawbacks of the existing system leads to the designing of a computerized system that will be compatible with the existing system with the system which is more user-friendly and more GUI oriented. We can improve the efficiency of the system, thus overcome the following drawbacks of the existing system.

The most important problem is of the following crises:

  • More human error.
  •  More strength and strain of manual labor needed.
  • Repetition of the same procedures.
  • Low security without any authentication login.
  • Data redundancy.
  • Difficult to handle and update data.
  • Record keeping is difficult.

How: Solution description

To overcome these drawbacks we introduced the Hostel management system project with more efficiency and with updated features such as hostel functions with a notification alert. If students send a message about the complaint of food, or if any problem, then notification alert will be shown to all students who are in a hostel.

Student Panel:

1. Student Login

1.1 Home

  • This consist of the different menus showing the details of the hostels.
  • It contains a link to all the menus of room details, notice board and registration details.
  • It allows different users to access the registration forms. 
  • He/she can view the bill payment details, administration details if any events, circular updated and also view the notice boards to know about the complaints or problems of fellow students, etc.

1.2 Registration Form

This section provides an online form to the students which can be filled by them, and a copy of the filled page can be taken in the printed form. This is later submitted to the hostel authorities which can be verified by them before allotting them to the respective hostel room.

 1.3 Notice Board

Both boys and girl hostels have their Notice boards. Any change in the hostel fee, mess fee will be shown in this. It can be also used for different notifications in complaints menu about various feedback of mess, room, students problem, etc.

2 Administrator Login

2.1 Home

The Administrator can :

  • Allot different students to different rooms.
  • Vacate the students from the hostel.
  • Control the status of the fee payment.
  • Edit the details of the students & modify the student records. 
  • Post events, functions, circular in notification menu.

2.2  Allotment of the hostels

There will be pre-defined criteria for the admission to the hostels. He/she checks the attested application forms of the students obtained from the internet and verify it with the student database. If the students are found eligible then they are allotted to the hostel rooms. 

2.3 Vacating the rooms

As the student’s course gets over they will vacate their rooms. So it is required for the administrator to remove their records from the database tables. This section includes the option for the room vacation and the deletion of the particular record from the database.

How is it different from competition

Our competitions are all institutions who are all having hostel management details as an online cloud computing methodology.
We provide notifications alert to all the students i.e when students post their problems or complaints about hostel facilities in the feedback menu, will send a notification message to all student login. This will help the students to post the real situation happening in the hostel. Thus problems can be easily solved between the hostel management and students. They can check their room allotment details, payment details and also about the food details at which time, what food will be offered, etc. Thus, we are different from our competitors.
